What NoteForms is
NoteForms is a form builder made for Notion. Its homepage title is "Create beautiful forms to fill your Notion databases", and the pitch is that you build forms and surveys without writing code and "receive submissions straight into Notion." The site says NoteForms is an official Notion integration and was previously known as NotionForms. Its footer carries the line that Notion and the Notion logo are trademarks of Notion Labs, Inc., used with permission.
The reader it serves is anyone whose team already keeps its records in Notion databases and needs a way to let outsiders such as clients, applicants or customers put data into them. The company's own articles say it caters to "Notion power users, SaaS startups, and educators".
What you build and how
The core idea. A form is attached to a Notion database, and each answer becomes a row there. The homepage says you can use "all field types available in your Notion table", listing text, numbers, select, date, checkbox, URL, email and phone among others, so the form maps one-to-one onto the database's properties.
Fields. Beyond the basic types the homepage lists:
- Person fields, so the respondent can pick a user from the same Notion workspace.
- Relation fields, where users select entries from a related table.
- File uploads, stored in your Notion table.
- Signatures, stored as images in Notion.
- A star rating field, mapped to a number value.
- A progress bar showing form completion.
- Hidden fields with pre-filled values passed in via URL parameters, for example to identify the user.
Design. You can choose the accent colors and font or pick from the available themes, embed external videos from YouTube or Vimeo, or add other elements through code blocks. The page lists custom CSS and JavaScript "for a full control of your styling and logic", and multipage forms for a more structured flow.
Logic and rules. The homepage heading is "Smarter forms with logic". The features named are:
- Conditional logic, which can hide, show or require a field based on the values of other fields.
- Notifications by email, Slack, Discord and more whenever someone submits.
- A confirmation email to the submitter, optionally including their response.
- Editable submissions, so the submitter can return and change an answer.
- Limits, either a closing date or a cap on the total number of submissions.
- Webhooks called on submission.
- Form protection with a password, a captcha or both.
Integrations and updates. A homepage band lists "Emails, Notion, Google Sheets, Zapier and more", and the company's articles name email, Zapier and Slack integrations. Beyond creating new rows, the homepage says you can "Edit form submissions and existing Notion Pages", and the articles add writing to the page body, so a submission can fill the content of a Notion page as well as its properties. They also say the forms handle Notion-specific columns such as relations, people and status. A URL pre-fill feature is pitched for raising response rates: values passed in the link land in the form before the respondent starts. Security covers "Passwords, Captcha, Notion Auth and more".
Templates and Database Views. The site lists ready-made form templates for common use cases, or you start from scratch. Database Views is described in the company's articles as a sub-product: the Basic plan includes 1 database view and the paid plans include unlimited database views.
Distribution. Forms can be embedded anywhere on the Basic plan, the company's articles list embeddable forms and custom domains under full customization, and the Team plan adds custom domains and a custom sender email through SMTP.
Getting started. The homepage offers "Create form for free" with "No credit card required" and a demo video. You connect a Notion workspace, pick a database, and the form's fields follow that database's properties. A quoted Notion user in one of the company's articles says NoteForms "saved hours of time by letting me manage all form data in Notion".
Plans and trust
Plans. The pricing section on the homepage shows monthly and yearly billing, with the yearly option marked "2 months off".
- Basic, $0 a month. "The basic toolset to create an unlimited number of forms with Notion." It includes 1 user, 1 Notion workspace, unlimited forms, unlimited submissions, embedding a form anywhere and 1 database view.
- Pro, $20 a month. "Everything you need to create beautiful and professional forms." It includes 1 user, 1 Notion workspace, removal of NoteForms branding, full form customization, enhanced form notifications, integrations and form logic, 10 MB file uploads and unlimited database views. It starts with a 3-day trial.
- Team, $49 a month. "For companies that need to collaborate on their forms." It includes unlimited users, multiple Notion workspaces, all Pro features, editable submissions, custom domains, a custom sender email through SMTP, 100 MB file uploads and priority support. It also starts with a 3-day trial.
Read the grid carefully. Conditional logic and integrations are listed on Pro, and the plan text puts editable submissions and custom domains on Team. Unlimited forms and submissions are available even on the free Basic plan, which is unusual and useful for a small team.
Scale and ratings. The homepage says the product is "Rated 4.9/5" and "Trusted by 130.000+ users and companies." The comparison articles say it is "loved by startups, freelancers, Fortune 500 companies and many more." These are the company's claims.
Support, discounts and community. Priority support comes with the Team plan, and the footer links Help, Guides, Product Updates and a Feature Requests board. The company runs an affiliate program and offers student, academic and NGO discounts, and it lists case studies, testimonials, partners and Notion Ambassadors. Forms can be protected with a password, a captcha or Notion Auth.
Who it suits and who it doesn't
A freelancer or small team that lives in Notion is the obvious fit. Client intake, bug reports, event sign-ups or applications can land directly in a database as new rows. A solo user can stay on the free Basic plan with unlimited forms. A company that wants branded, collaborative forms on its own domain, with several people editing and several workspaces connected, is looking at the $49 Team plan. Because the fields mirror Notion property types, a form can offer relation and person fields that point straight at the workspace's own data.
The caveat is the dependence. NoteForms is built around Notion, so a team on another database has no reason to use it. Removing the NoteForms branding and getting full customization requires the $20 Pro plan, and file uploads are capped at 10 MB there and 100 MB on Team.
