What Formgrid Is
Formgrid is a form builder that stands apart by embedding lead management directly into the form submission workflow. Unlike most form tools that stop at the inbox, Formgrid has AI analyze each submission, categorize it as a potential customer, spam or a sales pitch, and prioritize it. It then assigns the lead a status (New, Contacted, Converted), lets you add notes and follow-up reminders, and tracks conversion rates without requiring a separate CRM. The entire platform is open-source under the MIT license, meaning you can self-host it on your own infrastructure using Docker for unlimited free usage, or use the hosted version on formgrid.dev. This dual approach makes it appealing to teams that want control over their data and code but also to freelancers and small businesses that prefer a managed service.
What You Build and How
Formgrid offers 2 parallel paths to collecting submissions. The first is the drag-and-drop form builder: you design a form visually, get a shareable link instantly, and can distribute it via WhatsApp, email, social media, or embed it on any website. Every submission lands as a tracked lead in your dashboard instantly. The second path serves teams with existing websites: you point your HTML form's action attribute to a Formgrid endpoint URL (one line of code), and submissions go straight to your inbox. For both approaches, every form works on any device and submissions immediately appear in the lead pipeline.
The lead pipeline is the centerpiece. Each submission starts as a new lead. You mark it contacted when you reach out, converted when they become a customer, and the conversion rate updates automatically. Every lead has a status field, a notes section for private conversation history, and a follow-up reminder that emails you on the date you set. The site's own line is "Simpler than HubSpot. More powerful than Formspree. More actionable than Tally." The whole lead system (pipeline, notes, reminders, conversion tracking) is built in, with no separate CRM. Its comparison article says Web3Forms and Basin have no lead management, and the comparison table on the home page lists pipeline stages that you can edit, rename and add to.
Formgrid includes multi-step conversational forms where one question appears at a time, creating a clean, mobile-friendly user experience. Built-in bot protection (Cloudflare Turnstile for form builder forms, hCaptcha for HTML endpoint forms) blocks spam before submissions reach your inbox; no backend code required, no separate account needed. Form data syncs automatically to Google Sheets with every submission creating a new row, no Zapier setup required. File uploads are supported, allowing quote requests, applications, and intake forms to collect supporting documents.
The site lists use cases including quote requests with file uploads from photographers and contractors (20-200 submissions per month, Premium plan), job and internship applications from training institutes and hiring teams (100-1,000 submissions per month, Premium plan), and wedding and event RSVPs with guest details, dietary requirements and song requests (50-500 submissions per month, Free or Premium). The forms are shareable instantly and can run anywhere a link goes.
Because Formgrid is fully open-source under the MIT license, you can self-host it on your own infrastructure using Docker. The site describes self-hosting as the route to unlimited free usage, and says you can audit the code and own your data end to end.
Evidence from the Pages
Plans and Pricing. The comparison article puts Formgrid's free plan at 50 submissions per month, and the home page lists a Premium plan at $12/month. The home page's comparison table gives Formgrid's price range as "$12/mo to $29/mo". CSV export is available on the Premium plan and above. The site notes that existing submissions are never deleted when you hit your submission limit.
Open Source and Self-Hosting. The site explicitly states "Formgrid is fully open source under the MIT license. You can self-host it on your own infrastructure using Docker for unlimited free usage." The site says you get "unlimited free usage" when you self-host, and that the code can be audited.
Feature Set. The site lists form builder, lead pipeline with custom stages, lead tracking, notes on every lead, follow-up reminders, form endpoint support for HTML forms, Google Sheets sync included on the $12/month Premium plan (the comparison article says Web3Forms charges $18 per month for it), built-in bot protection on all plans, and file uploads on quote request forms. For form builder forms, Cloudflare Turnstile runs invisibly and blocks bots before they reach your inbox. For HTML endpoint forms, hCaptcha protection can be enabled by copying one snippet before the submit button.
Comparison to Alternatives. The site compares Formgrid with Formspree, JotForm, HubSpot, Getform and Kwesforms on its home page, and with Web3Forms, Basin, Netlify Forms and Formspark in a blog article. The home-page table lists default pipeline stages on the Free plan, with editing, renaming and adding stages shown as a separate row, and says Getform and Basin offer no lead management. The site notes that once you move past the free tier, Formgrid at $12/month with form builder, full lead pipeline, follow-up reminders, and permanent storage compares favorably to Web3Forms Pro at $18/month, which offers no lead management, no form builder, and no permanent free-tier storage.
Data and Spam. Every submission is sent to your inbox as an email and stored permanently in your Formgrid dashboard where you can view, search, and export anytime. There is no 30-day deletion or expiry on the free plan. Bot protection is built in on all plans.
Who It Suits and Who It Does Not
Formgrid fits teams that collect submissions regularly and want to track what happens next. A small service business (photographer, contractor, cleaner) can build a quote form, capture leads, mark them as contacted and converted, and watch their conversion rate improve without learning a CRM. A hiring manager running a job opening can use a form to collect applications, track status, and remind themselves to follow up before leads go cold. An event organizer can collect RSVPs with guest details and follow-up automatically.
The self-hosted option appeals to teams that require data sovereignty or want to audit their tools. A business with strict data-handling rules can run Formgrid on its own infrastructure rather than send submissions to a third party. The pages make no compliance claim such as SOC 2 or HIPAA, so that part is for your own review.
The trade-offs are about volume and reach. The free plan caps at 50 submissions per month, and the comparison article admits Web3Forms is ahead at the free tier with 250. The pages name Google Sheets sync and a form endpoint as the integration routes, with no longer integration list, so teams that want a wide connector catalog may find it narrow.
