What it is

MyDocSafe is a client collaboration platform for firms that serve clients and handle their documents: accountants, law firms, financial advisers and other professional services. The home page calls it "One secure place for you and your clients to work together", covering proposals, onboarding and KYC, client portals, workflows and e-signatures. The site's wording is aimed at the partner or operations lead of a small to mid-size practice who wants client intake, signing and document sharing in one system.

It is a configured product, not a blank-canvas app builder. You set up branded portals, forms, workflows and proposal templates rather than designing a database. The home page splits its pitch by profession: for accountants it promises "Onboarding, MTD, proposals, portals and e-signatures", for law firms "Secure client intake, ID checks, documents and e-signatures", and for financial advisers client onboarding, compliance, secure portals and document workflows. A recent blog post covers how accountants can identify their April 2027 MTD for Income Tax cohort before HMRC does.

What you build and how

The portal is the part of the product this entry is filed under. The German portal page describes it as individual client portals that serve as "sichere Drehscheiben" (secure hubs) for all client interactions. Each client gets a branded, secure space where files are stored, data is collected through forms, contracts arrive for signature and messages can be sent. Branding covers logo, colors and layout, and the page also lists white-label portal options and separate portal groups for different stakeholders.

Setting portals up at volume is covered. The FAQ says you can upload a CSV file to create an individual portal for each client, which it presents as a way to onboard hundreds of clients quickly with personalized portals. A client can be sent a secure upload link from the messaging tab and drop documents without logging in. A single client can reach several portals, and hierarchical access rights let managers see employee portals. Access can be set for individual documents, and onboarding can run in several stages with triggered notifications.

Onboarding is the second major use. The page describes automating the journey from first contact to a signed contract, building each client journey step by step, managing hand-offs between departments inside portals. The home page adds proposals, forms and document requests in one flow, automated chasers and internal workflows, and secure messaging and file sharing. A beta feature for employee onboarding appears in the navigation, as do web forms and questionnaires, ID verification services and virtual data rooms.

E-signatures are built in. The site lists password protection and SMS verification, bulk send and mail merge, and complex multi-party workflows. A security panel adds verification by SMS codes and biometrics. The home page asks "Tired of paying per signature?" and presents the built-in signing as the alternative, and it quotes a claim that "100% of our clients choose to use our electronic signatures". That is the company's statement about its own client base.

Proposals and sales sit on the same rails. The home page describes branded, reusable proposal templates, integrated approvals and e-signatures, and a single link that covers scope, quote, contract, payment and ID check. A pricing tool builds dynamic pricing proposals and quotes. For selling through a portal, the FAQ describes a prospects portal group for quotes, estimates and checkout flows, with service menus that carry prices and Stripe connected for payments.

Practice management covers the team side. You can assign tasks to team members and to clients, use built-in timers and timesheets, and apply workflow templates and recurring processes. Timesheets log billable hours, approve them and generate reports for project billing, and task management includes real-time dashboards and automated reminders.

Messaging has a particular feature. Broadcast messages go to several clients at once, for example to distribute confidential reports, and the page states that portal messages do not require explicit consent. Portals support Dutch, French, German, Italian, Polish, Portuguese, Spanish, Ukrainian and English in British and American variants, so clients can open them in the language they prefer.

For integrations, the navigation lists Zoho CRM and Xero, and the blog says a MyDocSafe and TaxNav integration is live and free for accountants in the UK. The footer also links API integration documentation with common use cases and an MCP third-party integration page.

What the pages state

The home page invites visitors to "Try us for free for 30 days to see how much you can save" and to "Start your 30 day trial today", and a demo can be requested. This is a trial, not a free plan. The home and portal pages link to a Pricing page but print no plan names or prices themselves.

The home page says "Over 10,000 companies around the world use MyDocSafe" and lists sectors from accountants and legal to real estate, education, medical and government.

Security claims are specific. The site lists 256-bit AES encryption for documents at rest and in transit, which it calls bank-level encryption, permission-based access with granular controls, e-signature verification, encrypted email links, secure storage with regular backups and redundant storage, and an audit trail with the complete history of document access and actions. The portal page adds GDPR-compliant storage in its German wording ("DSGVO-konforme Speicherung"), full audit logs and a searchable portal system. The site links to a data processing agreement and to a page on how it supports GDPR compliance.

Customer quotes are on the home page. Amy Heighton of Heighton Bookkeeping says: "I really like the 'auto delete' which is a brilliant feature to help with General Data Protection Regulation compliance." Tara Kachaturoff says: "I can easily upload a new contract and send it out to a client within minutes. The platform is incredibly intuitive." A third, from HNS Pharma's managing director, praises "efficient supplier/customer onboarding, and exceptional implementation support from the team".

Who it suits and who it does not

MyDocSafe suits a practice that sends the same documents to many clients and chases the same replies. An accountancy running onboarding and proposals, a law firm doing intake with ID checks, or an adviser collecting signed paperwork can set up portals, signing and reminders without a developer. The CSV invitation and no-login upload links help when clients are not technical. Teams that sell services can put quotes and Stripe checkout in a portal group.

It also fits firms that care about a visible audit trail and encryption claims, since those are stated plainly on the site, and the home page pitches the product as "One app instead of many" that is more secure, more productive and more cost-effective than a stack of separate tools.

The limits are worth knowing. The product is organized around client work, so a business that wants to design its own data model, screens or app logic will find less control than in a general no-code builder. The named integrations are few, Zoho CRM, Xero, TaxNav and Stripe, so a firm running other systems will lean on the API rather than a ready-made connector.
