What CollabPortals is

CollabPortals is a portal builder for Airtable. Its homepage puts the pitch in one line: turn your Airtable base into a branded client portal, and give clients, students, contractors or members a login to the records they need. It is written for small businesses, freelancers and ops teams who already keep their data in Airtable and want to share part of it with outside people without handing out Airtable seats.

The company's blog tells the origin story. The founder, Matt Shepherd, is described there as a software engineer and Airtable power user who kept running into the same frustration, the lack of an easy way to give external users a simple view to edit their data. His note on the homepage puts the problem plainly: a small business stores its data in Airtable and then needs to give a customer, a student, or a contractor "access to a slice of it," and the choices were paying per seat for people who should not see the whole base or moving the data to a custom app. The product is his answer to that, "allowing you to set up a secure, permissioned portal in a few clicks." The homepage is just as explicit about scope: the product "does one job, letting the right people see and edit the right parts" of an Airtable base, "and we intend to keep it that way."

What you build and how

The setup is three steps on the homepage. You connect with a one-click connection to your Airtable base, customize by picking the tables and fields your customers see and adding a logo and a color, then share the portal link. The site says you can build a portal "in an afternoon."

The data layer is Airtable itself. The FAQ says there is no separate database: when someone edits a record in Airtable the change shows up in the portal in real time, and the pricing list names "real-time Airtable sync" as part of the plan. The connection to Airtable uses OAuth 2.0, traffic is encrypted in transit, and the site says your records never leave your base. One subscription covers unlimited bases and unlimited portals.

Permissions are where the product spends most of its effort. The FAQ says customers can edit records on tables and fields you choose, and that view, create, edit and delete are all configurable per role. For each field there are four independent settings, view, create, edit and required, and a hidden field is never sent to the browser. The plan list advertises advanced table permissions and advanced field permissions. Records are scoped to the logged-in user through linked records back to your Airtable user table, so a customer sees their own rows and not someone else's. You can add field, operator and value filters per table and set a default sort.

Logging in is simple for the end user. Customers do not need an Airtable account. They sign in with their email and a 6-digit code, and the portal is responsive, so it works in a phone browser as well as on a desktop. A custom domain such as portal.acme.com is available on any paid plan, served with an automatic HTTPS certificate once you add one DNS record. Logo and color branding is included on every plan, with no upsell to a higher tier for it.

What the product does not do is also on the pages. Asked whether it has an API, the FAQ answers that Airtable has one, and points you to Airtable's API for automations, webhooks and Zapier-style work. Airtable is the only data source the homepage describes. The site says to tell the company if you need a feature it lacks, and describes a public roadmap where "the votes are real, and small things ship in days."

Because it is a portal and not an app builder, you will not find a page canvas, workflow engine or AI features described. The editing experience your customers get is the Airtable data you chose to expose, in a tidy login-protected view.

Plans, pricing and proof

Pricing is one plan with no tiers: "$10/month billed annually, or $12 monthly." The annual price is $120 a year, which the homepage says saves $24 against monthly billing. The plan lists unlimited portals, unlimited users, real-time Airtable sync, a public portal URL, secure user login, and the advanced table and field permissions. A free trial needs no card, and there are no setup fees. Monthly plans cancel at the next billing cycle, and the annual plan is non-refundable with no auto-renew surprises.

The homepage sets out "Five things we've decided up front," and they read like a product spec. Your data stays in Airtable, so "there's nothing to sync and nothing to migrate if you ever leave." The price is flat with "No per-seat fees, ever": "Invite ten portal users or ten thousand; the price never moves." Permissions go down to a single field, or you can skip them and give everyone the same full view. Small things ship, such as filters, sort, branding, custom URLs and role mapping, with "No enterprise tier we are hiding the basics behind." And it is "A portal, not a platform."

The use cases on the homepage each come with a live demo and a template you can copy: a client portal for project data, a project management view with controlled access to tasks, timelines and deliverables, a CRM portal where clients see their account data, deals, contacts and activity, a student portal for records, licensing progress and program status, a real estate portal for listings, transactions and documents, and an inventory portal where warehouse staff and partners see counts, reorders and vendor pricing without exposing costs or other locations.

Reviews quoted from G2 come from small businesses. Gary B., a director, writes that he needed "a setup where individuals could enter certain data while other information stayed view-only (or even hidden)," and that CollabPortals "makes that easy with a straightforward toggle option." Another reviewer, Yılmaz K., built "an online stock-sharing platform for the textile industry" on it. Several reviews single out support response times.

Questions go to hello@collabportals.com, the address the homepage lists, and the FAQ points feature requests to a public roadmap.

Who it suits

CollabPortals suits a small business or freelancer who already has the data in Airtable and needs one dependable way for clients, students, contractors or members to see and update their own records. An agency serving several clients on separate bases benefits from the flat price and unlimited portals, since the site says the cost does not move with the number of customers who log in.

It is a poor match if your data lives somewhere else, since the pages describe Airtable only. Teams that want a full app builder with custom pages, logic and AI will not find those here, by the company's own choice. Anyone who needs deep design control will find the options limited to logo and color. The caveat on the other side is a good one for budgets: a portal that stays at $10 a month however many customers log in is easy to plan around.
