What FlowForma is

FlowForma is an AI-powered no-code process automation platform that helps organizations build, automate and optimize business workflows natively on SharePoint. It is a process tool for operations, IT and compliance teams that already live in Microsoft 365 and want forms, approvals and document generation without custom development. The company's home page says it powers business-critical processes for 300,000+ users, and the contact section lists a headquarters in Dublin, Ireland, with offices in Boonton, New Jersey and London. The footer shows the company as a Microsoft AI Cloud Partner, and the home page cites a 4.5/5 rating on G2.

What you build and how

The unit of work is a process. The pricing FAQ defines it as the complete end-to-end process needed to reach one business outcome, such as employee onboarding, bringing together stages and steps, forms and data capture, roles, rules and conditions that drive branching and escalation, approvals, notifications and integrations. Its worked example is a purchase request: how it is submitted, what information is required, when approvals trigger based on value or department, and how it moves through finance and procurement. Each process comes with unlimited forms, steps and runs, so the number of forms is not the constraint; the number of automated processes is.

Because FlowForma runs natively on SharePoint, the home page says you automate "within your Microsoft 365 and SharePoint environment" and keep audit-ready compliance there. The workflow engine is described as able to "route and approve at scale," with AI agents that complete tasks, check data, flag issues and act on your behalf. Document generation creates unlimited Word and PDF documents from process data using templates.

The AI suite has 5 named parts. Copilot is the process builder: you upload a form or diagram, or simply type a description of your process, and Copilot builds the structure, after which you prompt changes in natural language, add steps, rules, conditions and logic through conversation, and preview and test the workflow in real time. The AI page's example prompt asks for an asset management process to track devices in an insurance brokerage. The Ambient Process Discovery Agent captures processes from voice, meetings and everyday work and turns conversations into processes ready for review. The AI Agent Rule is placed at any step of a workflow and given an instruction in plain English, such as reading an invoice and extracting the supplier name and total; it can read documents, extract structured data, validate content and return the results to a form or another system. Smart Assistants guide builders with setup help and auto-suggestions, and let process users start a workflow in natural language with AI-led form filling. Summarization produces a natural-language summary of a process so far, which can be shown to a user or put into email alerts or generated documents. The page says AI output can always be reviewed and approved before it goes live, and that the AI features can be turned off.

On the AI back end, the company states it uses Microsoft Azure's implementation of OpenAI, with GPT5.0 and GPT4o in use for different features. Prompts and completions are private to your organization, not available to OpenAI or other Azure model providers, and not used to train models. Copilot stores your prompts and replies so you can reopen a chat, you can delete a conversation at any time, and files uploaded to the AI features are not stored.

Insights is the reporting layer: dashboards and real-time visibility into every process, with AI highlighting bottlenecks, delays and trends. Governance gives IT audit trails and control over how processes are automated across the organization and how AI agents may act; a video on the resources page covers sandboxes, testing and production control. For the people who use a finished process, there is a mobile app, and the AI page says workflows designed on desktop become available on mobile at once. Engage brings customers, suppliers and other external users into internal processes. Collaboration, a Microsoft Teams app, the FlowForma Playground and FlowAssure, a product for auditable vendor security assessments, round out the menu.

On integration, the home page says the platform is native to SharePoint and connects to 1,000+ platforms, "allowing you to automatically exchange data between applications, reduce duplication and create end-to-end digital processes." The names shown are SharePoint, Teams, SAP, DocuSign, Oracle and REST API. The pricing table describes advanced integrations as connecting processes to other applications "via REST API, database integrations and more." The site also runs migration pages for teams moving off InfoPath and Nintex.

Plans, security and support

Pricing is published for 3 plans, billed annually and listed per month in euros, pounds and dollars.

  • Essentials, for automating up to 3 end-to-end business processes, from €2,067, £1,722 or $2,347 per month. It includes unlimited forms, Insights, unlimited document generation, the mobile app, external users, SharePoint integration, governance, onboarding services and adoption services. Advanced integrations are not included, and FlowForma Copilot and AI Agents are an add-on.
  • Professional, marked "Most popular," for up to 30 processes, from €2,900, £2,486 or $3,293 per month. It adds FlowForma Copilot, AI Agents and advanced integrations to the Essentials list.
  • Enterprise, for widespread automation, with custom pricing based on your process estate and unlimited processes.

The pricing table says FlowForma AI covers Copilot, AI Agents, Smart Assistants and Summarization, and that fair usage limits apply. Every tier includes the SureStart Onboarding Programme, which the FAQ says aims to get first processes live in a few weeks and leave your team able to run the platform independently. Core product support comes with the standard license under a defined SLA; Premium Support, Consultancy Days and an Advisory Services add-on cost extra. The trial runs free for 7 days with no credit card, gives access to AI Agents, forms, workflows and document generation, and is self-service with 1-2-1 access to process experts. That is a trial, not a free plan.

On security, the AI page's FAQ says FlowForma is ISO27001:2022 certified, with bi-annual external audits by an accredited auditing body, Amtivo, and that under this framework it complies with GDPR, NIS 2 and the EU AI Act.

The case studies are the company's own and carry figures worth reading as claims. Aon is quoted at under 1 day to build a workflow versus 6 months. Blackpool Teaching Hospitals NHS is credited with 70+ processes automated. LSTM deployed 120+ workflows in 14 months. Morley College went 100% paper-free. Grant Thornton reports 60% higher efficiency, Abingdon and Witney College 4,000 hours saved a year, and PJ Hegarty 50+ construction processes automated. McKinley Irvin saved 1.5 hours on every payment approval request, CVB JV Tideway East saved 700+ hours on repetitive tasks in a single year, and the College of Paramedics Nova Scotia is quoted at 85% faster. The Utah Department of Health and Human Services reports an 87% improvement in contract management.

Customer quotes show the positioning. Robbie Molloy, Product Manager at Aon, says one of the biggest advantages was "building on our existing systems while gaining far greater control." William McCann, IT Director at Grant Thornton, says FlowForma is "completely different to other SharePoint apps; much more business intuitive."

Who it suits and who it does not

FlowForma suits organizations that have standardized on Microsoft 365 and SharePoint and want business teams to own approval workflows, forms and document generation without developers. The industries it names include insurance, financial services, education, healthcare, construction, manufacturing, energy and the public sector, and its migration pages make it a candidate for teams with a legacy InfoPath or Nintex form estate.

It is a poor match for a founder or small team building a customer-facing app or site: it is a process tool for internal approvals and the external parties around them, and the published prices start in the thousands per month. Teams that do not use SharePoint lose the native advantage the product is built on. On Essentials, the AI suite is an add-on and advanced integrations are missing, so a team that wants Copilot or REST connections from day one is looking at Professional. And because pricing is tied to the count of automated processes, a team with many small processes needs to plan its tier carefully.
