What it is

Dokuflex is a low-code business process management platform with AI, aimed at HR, finance and operations teams. Its home page invites you to "diseña, ejecuta y mejora cualquier proceso con IA" (design, run and improve any process with AI), starting from ready-made processes or a drag-and-drop canvas. The company's English pages describe a Barcelona-based team, a product built for small and mid-sized businesses in Spain, data kept in the EU, and support in Spanish and English. The main site is written in Spanish, and the English pages cover the same product. The company says Dokuflex was designed from day one in Spain, which shows in its feature list: eIDAS electronic signature and the tax agency AEAT's VERI*FACTU invoicing rules sit next to the process engine as part of one suite. It calls itself SaaS-first, with a modular model where you pay for the modules you use.

What you build and how

The process canvas. You design a process on a drag-and-drop canvas with nodes, rules and forms, and the company's pitch is zero friction between design and production. The English pages describe a visual BPMN 2.0 modeler in the browser, with no installation, a palette of tasks, events, gateways and sub-processes, and import and export of standard BPMN 2.0 XML. The modeler and the execution engine live in the same cloud environment, so there is no manual syncing between a diagram and the running process. The company says the modeler is designed for business analysts. A team that already has diagrams in BPMN 2.0 XML can bring them in, and the company describes a phased migration: review the XML, rewire service tasks and integrations, validate with a pilot on one critical process and roll out progressively, with a typical timeline of 4-8 weeks.

Templates. The home page says you can start from more than 48 ready-made processes covering HR, finance, purchasing and compliance, and a second section mentions more than 50 ready templates for HR, finance and operations.

Forms and approvals. A visual form builder handles validations, conditionals and complex logic, and the home page says you can publish "en minutos" (in minutes). The company describes it as a way to configure forms, approvals and interfaces without code. Its split of roles is that analysts configure and IT supervises, with governance and speed in the same environment.

AI agents. Dokuflex puts AI agents inside the BPMN engine as just another task in the flow. The English pages name three native patterns: a classifier agent (for invoices, contracts and inbound emails), an extractor agent and a decision agent with traceable justification. They are configured and supervised from the same console as the rest of the process, without satellite products. The home page adds that AI classifies documents, suggests routes and takes routine decisions, and it lists AI-assisted classification and extraction among the platform's building blocks. The company also describes basic AI-powered process mining that points out bottlenecks, rework and suggestions.

Signature, documents and invoices. The platform combines BPM with eIDAS electronic signature, document management, invoices and time tracking as an integrated suite. Its signature module, Doku4Sign, covers biometric, OTP, certificate and qualified signatures, and Doku4Invoices handles VERIFACTU inside the same BPMN process. The pages also list AEAT-certified OCR and native OCR and document capture. The home page says you can combine BPM, signature, documents, expenses and HR on one platform to deploy complete flows without multiplying tools. The company's blog covers VERIFACTU, document management and the new rules on working-time control in Spain from 2025.

Integrations. The home page names SAP, Salesforce, Microsoft and REST APIs, with certified connectors and an open SDK, and says the connectors cover the ERP, HCM and payroll software most used in Spain and Europe without custom integration projects. Its integration strip shows SAP, Workday, Salesforce, Microsoft 365, Sage, Cegid / Meta4, Factorial and Bizneo, and the full list adds A3Nom, Holded and HubSpot. The English pages add SAP S/4HANA and ECC, Microsoft Dynamics 365, Oracle and custom ERPs, reached through REST APIs, webhooks, queues and specific connectors.

Monitoring. The home page promises monitoring of states, metrics and bottlenecks in real time, plus a full audit of every step. It says the platform scales from 10 to 10,000 users.

What the pages say

Pricing. The English pages publish a Starter plan "from €25 per user per month with annual billing", VAT excluded, with Business and Enterprise quoted within 24 hours. The same pages also give an entry price "from EUR 19/month per user" for the modular SaaS and a starting price of 228 € a year. The company says the Kit Digital grant can apply, up to €29,000. The home page offers a savings calculator, platform videos and a guided demo, and promises a phased rollout.

Speed and outcome claims. The company says deployment takes 2-8 weeks and that a first critical process can be in production in 2-4 weeks. The home page claims 3x faster implementation, 40% more operational efficiency, 80% less manual time in automated processes, an average project payback of 2.7 months, and a reduction of 8 in every 10 hours of paperwork.

Customers. The home page names CaixaBank, Hospital Sant Pau, Mutua Terrassa, Volkswagen, Zurich, Santander, Opdenergy, Tupinamba Energía, SERES, Mewa and Omega Peripherals among companies that automate with Dokuflex. It puts the total at more than 50 teams. Its case summaries are specific. At CaixaBank, a multi-region eIDAS signature platform with an SDK embedded in the CaixaBankNow app signed 4.2 million contracts digitally in the first year, with 99.99% uptime. At Hospital Sant Pau, biometric signature on tablets for admissions, emergencies and operating rooms, integrated with the health record over HL7/FHIR, replaced paper consent forms, saving 12,000 hours a year and cutting admission time by 87%. At Mutua Terrassa, 250+ low-code processes run in production for 2,000+ users, with AI expense management and two-way integration with ERP and HR software, and planning time down 92%.

Hosting and security. The home page lists RGPD (GDPR), eIDAS, AEAT, ENS and EU data. The English pages say EU data centers by default, ENS Medium, ISO 27001 and GDPR, with a dedicated private cloud on EU infrastructure if your data protection officer requires it. The company says it does not market traditional on-premise perpetual licenses.

Who it suits and who it does not

Dokuflex suits a small or mid-sized company in Spain or elsewhere in the EU with HR, finance or operations processes, one that wants BPMN, signature, documents and AI agents in one suite and cares about EU hosting. A team replacing paper approvals and consent forms, or one that wants a process live in weeks rather than months, is the core reader, and a Spanish firm facing VERI*FACTU gets features built for that rule. The connector list, heavy on Spanish payroll and ERP tools, points the same way.

It is a weaker fit for a team outside Spain, where eIDAS and AEAT features matter less, and for a founder who wants a quick app or website, since this is a process platform sold through demos and quotes. The company itself says its modeler is aimed at business analysts rather than a large center of excellence with dozens of developers, and that it is built for small and mid-sized companies. Teams that need a traditional on-premise license will find a private EU cloud instead.
