What PepoSmart is
PepoSmart calls itself "an AI scheduling and meeting-intelligence platform." It pairs booking pages and availability rules with an AI notetaker that joins Zoom, Google Meet and Microsoft Teams calls and produces transcripts, summaries, action items, coaching scores, CRM updates and follow-up email drafts. The reader it suits is a sales team, consultant or service business whose meetings produce commitments, and who is tired of reconstructing them from memory after the call. The site footer says it is operated by Peposmart Inc in Houston, Texas.
What you build and how
You build in 2 layers. The first is scheduling. Event types carry buffers, minimum notice, booking windows, timezone handling and intake questions, and the company says they take minutes to create. Every event type gets its own QR code. You connect a Google or Outlook calendar so existing commitments block your availability, and you pick a default conferencing tool: Meet, Zoom or Teams links are created automatically for each booking. Booking pages embed on a website, and the company's migration notes name WordPress, Wix and Squarespace as places to swap in embedded widgets. Team scheduling includes round-robin events, which pick among hosts who are free at that time. The assignment weighs each host's availability schedule, conflicts on connected calendars, per-host meeting limits and how recently the host was last assigned.
The second layer is the AI notetaker, switched on per event. It joins as a visible participant, records in HD and transcribes. Each meeting gets a summary with key points, action items with an owner and priority, sentiment and buyer intent. A follow-up email is drafted minutes after the call and waits in a review queue. Nothing generated by AI goes to your contacts until you have looked at it, and the company is explicit that it drafts rather than sends.
The intelligence features build on that transcript. Before your next call with a contact, an AI prep briefing recaps past meetings, the sentiment trend and pending commitments. A Meeting Intelligence dashboard shows call scores, talk ratios, buyer-intent breakdowns and a team leaderboard. You can ask questions in plain language, such as "What commitments did I make this week?", and get an answer drawn from your own transcripts. The FAQ adds an analysis layer on top of the transcript: a call score from a published formula, objection and competitor detection, deal-risk scoring and relationship health per contact.
CRM sync is the integration story. PepoSmart connects to 10 CRMs: HubSpot, Salesforce, Pipedrive, Zoho CRM, Microsoft Dynamics 365, Freshsales, Copper, monday.com, ActiveCampaign and Close. It looks up or creates the contact, logs the meeting and turns approved action items into follow-up tasks. Deal-stage changes are recommendations you approve, never automatic writes. A built-in bulk email tool covers contacts, templates, broadcasts and drip sequences, with the option to use your own SMTP. Payments can be collected through Stripe and PayPal. CRM sync, payment collection and email marketing all require the Professional plan or above.
Beyond the CRMs, the home page counts 39+ integrations across CRMs, calendars, video conferencing, payments and automation. Zapier, Make and signed webhooks connect it to other apps or your own endpoint: the webhooks push 8 event types to any HTTPS endpoint, and the REST API covers 4 scheduling resources, so every booking, payment and AI meeting summary can reach your own systems as it happens.
2 limits shape what you can build. The notetaker cannot record phone calls or in-person meetings, only Zoom, Google Meet and Microsoft Teams meetings where AI notes are switched on for the event. And because the notetaker is visible to everyone on the call, hosts stay responsible for any consent their jurisdiction requires.
Plans, pricing and support
The pricing is public and billed per user per month, excluding tax, with no seat minimums. The Free plan includes unlimited event types, unlimited scheduled meetings, calendar and conferencing integrations and website embeds, with no credit card required. The company says "scheduling is free" and you pay for the AI, since scheduling and bookings are never metered on any plan.
The plans, as listed on the site, with every price per user per month:
- Free costs nothing.
- Starter is $6 per user per month, or $5 per user per month billed annually, with AI notes and coaching.
- Professional is $9.50 per user per month, or $8 per user per month billed annually, with CRM sync, payments and email sequences.
- Business is $29 per user per month, or $24 per user per month billed annually, with team coaching views, priority support and API access.
- Enterprise is custom.
AI recordings are the real limit. Every plan, Free included, comes with 2 AI recordings for the lifetime of the account, and there is no monthly allowance on any plan. Paid plans can add more with AI recording credit packs, which are shared across the team and valid for 30 days. Starter, Professional and Business each begin with a 12-month free trial on a new subscription. A card is required at checkout, the first charge comes when the trial ends, and canceling during the trial means you are never charged. The company says recordings on paid plans have no scheduled expiry.
The site's migration notes read as a checklist: recreate services as event types, connect a calendar, swap the embedded widgets and links, then let the built-in email tool take over from a separate campaign product. The home page also says the company would rather you found out about a missing capability or a plan requirement before signing up than after, and it keeps every plan, price, limit and integration on a single product facts page. Priority support is listed on the Business plan.
A customer quote on the home page comes from James Mitchell, sales director at Woodbows: "The meeting intelligence is incredible. AI detects buyer intent, extracts action items, and our CRM is always accurate now."
Who it suits and who it does not
PepoSmart suits a sales team or consulting business with a steady stream of discovery calls, client meetings or coaching sessions, where the follow-up is where deals get lost. The free plan shows whether the scheduling covers your needs, and the 2 lifetime recordings let you judge transcript and summary quality on real calls. Per-user pricing from $6 stays low for a small team, and the 12-month trial on paid plans delays the first charge by a year.
It fits less well in a few places. If your meetings are phone calls or in-person visits, the AI layer has nothing to record. The FAQ says PepoSmart does not have routing forms, SSO or mobile apps. And the recording allowance is tight: 2 lifetime recordings on the free plan, then credit packs that expire after 30 days, so a team that records every call should price the packs before assuming a flat per-seat cost. A solo founder who wants plain booking pages and no AI can use the free plan, but would be adopting a platform whose main value sits in the part they are not using.
