What Calenso is
Calenso describes itself as "a Swiss appointment scheduling software developed specifically for companies that value security, customizability and scalability". It is a booking platform rather than a general builder, aimed at organizations whose staff sell advice or service by appointment: insurers, health insurers, banks, public authorities, law firms, real estate managers, retailers, consultancies and HR teams. What you configure with it is a booking process: appointment types, who can be booked, how customers reach you, what they fill in beforehand and what happens afterward. The company behind it is Calenso AG, the homepage is written in German with an English version of the blog, and the company says it has "Über 10000+ namhafte Kunden" (over 10,000 well-known customers).
The homepage sums up the scope as appointment scheduling, video consultation, group appointments, room booking, queue management and analytics in one product.
What you build and how
Appointment types. The homepage separates three formats. A 1:1 appointment lets a customer book one or more services, and only one person can take part in a given time slot. Group appointments allow several people to attend the same slot at once, and the site names courses, further education, webinars and training. Conference appointments are for finding a time quickly when several participants are needed, such as a job interview with supervisors, HR managers, specialists and the applicant. The homepage also says algorithms help consulting-heavy sales teams connect each lead with the most suitable employee.
Rooms and resources. The feature menu lists room booking, which books appointments together with rooms and resources, so a branch can tie a consultation to a free meeting room.
Channels. The English blog describes omnichannel booking: customers can book online, by phone or in person on site, through the channel they prefer.
Branding. The homepage says: "Wählen Sie Ihre eigene Farbe, fügen Sie Ihr Firmenlogo ein, oder ändern Sie die Schriftart" (choose your own color, insert your company logo, or change the font), and adds that SMS and email messages can be adapted too. The blog says booking pages and communication channels can be fully customized to match your branding, including the logo, colors, fonts and all text fields. This is theming of a booking page, not building a website.
Before and after the appointment. The homepage describes the booking process as fully automated, ending time-consuming phone calls and long email chains: you book more meetings, remind customers and send satisfaction surveys after the appointment. Automated messages are pitched as a way to raise the show-up rate. Surveys and configurators collect important information before the appointment, and a BMS Building Materials Suisse manager says the online surveys let their advisors prepare for consultations. A Helvetia Versicherung manager says information is entered into their CRM system automatically before the appointment.
Video. Calenso-Meet is the company's own video tool, which the site calls GDPR-compliant, for remote consultations with customers and leads. The site also names integration with Zoom, Microsoft Teams and Unblu.
Analytics. A statistics function shows where customers drop off in the booking flow, and the site says you can connect analytics tools such as Google Tag Manager or Adobe Analytics. Calendar synchronization and a customer engagement platform appear in the feature menu, and an integrations overview page is linked.
Use cases. The homepage groups scenarios under sales and consulting, customer service, HR and recruiting, and enterprise meeting planning. Recent case studies on the homepage include a health insurance body that moved almost 1,000 appointments online, Orion Rechtsschutz taking bookings in 4 languages, Pro Infirmis, Caritasverband Speyer, the municipality of Zollikon, Uniqa and Dextra Rechtsschutz.
What the pages state about security, plans and support
- Certifications: "Unsere Server sind nach ISO 27001 und BSI C5 zertifiziert" (our servers are certified to ISO 27001 and BSI C5). A separate heading says Calenso and all its servers and databases are ISO certified and located exclusively in Switzerland, in a high-security data center of a renowned provider.
- Data protection: the site says Calenso complies with the Swiss data protection act (nDSG), GoBD and the GDPR (DSGVO).
- Encryption: data is encrypted with an individual AES-256 key assigned to the user through asymmetric cryptography. The English blog also names two-factor authentication.
- Plans: the footer of the English blog names two plans, Calenso Business and Calenso Enterprise, and links a pricing page. The homepage gives no prices.
- Trial: "14 Tage kostenlos testen", a 14-day free trial, and the blog closes with "Test 14 days free of charge". The site also offers an initial consultation.
- Support: the blog footer lists separate sales and support addresses, with an average answer within 24 hours for support requests. Resources include video tutorials, training, technical documentation and a help center.
- Outcome claims: the homepage says companies using Calenso see 110% faster scheduling, a 96% reduction in missed appointments, 73% higher lead conversion and 250% time savings around the appointment process. These are the company's own aggregate figures.
What customers say. The homepage carries named testimonials. Ramez El Chami of Sanitas Krankenversicherung says bookings with their insurance advisors keep rising. Anne Bode of CSS Versicherung praises the responsive and competent customer service. Deborah Lüthi of OCHSNER SPORT says bookings rose significantly after online scheduling went live. Pasquale D'Agostino of Groupe Mutuel says "Mit Calenso haben wir eine Schweizer Firma gefunden, die auch unsere landestypischen Eigenheiten abdecken kann" (with Calenso we found a Swiss company that can also cover our country-specific characteristics). Patrick Godly of Spital Oberengadin calls it quick to set up and adaptable and singles out the filter function. Reboat Zürich says it has worked intensively with Calenso for 4 years. These are the vendor's chosen quotes.
Who it suits and who it does not
Calenso suits an organization in insurance, health, banking, legal services or the public sector that must show where data lives and which certifications cover it, and wants advisors to run 1:1, group and interview appointments through one system with surveys, rooms and video built in. A business that wants its vendor and its data in Switzerland has an obvious fit, and the customer list leans toward Swiss and German-speaking organizations.
It suits less well a solo freelancer who wants a free booking link and nothing else, because Calenso is sold on a trial and a first conversation, with Business and Enterprise plans rather than a free tier. And the main marketing page is in German, so an English-speaking team works mostly from the English blog and the help resources.
