What Botphonic is
Botphonic is an AI voice agent and AI answering service platform for businesses that take or make a lot of phone calls. Its homepage defines an AI voice agent as software that holds a real phone conversation on your behalf: it answers or places calls, understands what the caller wants, takes an action such as booking an appointment or updating a CRM record, and hands your team a summary. The audience runs from a clinic or small office that wants an AI receptionist, through sales teams running outbound campaigns, to BPOs and contact centers that want to replace or extend a staffed floor. Agencies are addressed directly, with white-label AI receptionists for their clients and volume pricing. The company also sells an email outreach line next to the voice product: cold email, AI cold email sequences, auto follow-ups, mail warm-up, an email verifier and white-label cold email.
What you build and how
You build one agent and reuse it. The homepage says the same agent, voice and knowledge base carry across 4 jobs, so you never rebuild: an AI answering service, an AI receptionist, an outbound AI phone agent and AI call center software. Setup is described in 3 steps: connect a number, paste your FAQs, pick a voice. The company says your first call is answered in minutes and that a voice-AI engineer is available to help tune the agent. For the logic beyond the script, the platform offers ready-made low-code connectors for common systems and a visual workflow builder for the rest, and a comparison table on the site lists a drag-and-drop editor among its features.
The call itself runs in 4 stages that you control: answer or dial, understand the caller, take the action, hand over. The agent answers inbound calls instantly or places outbound calls from a list, a CRM trigger or a missed-call event, and screens spam and robocalls before a word is spoken. It follows your knowledge base and business logic, detects intent and sentiment, handles interruptions and escalates frustrated callers to a person. The site gives a response time of under 300 ms and 65+ voices, and says warm transfer to a human is built in.
Scheduling is the most concrete workflow. The AI receptionist checks live availability in Google Calendar, Outlook, Calendly or your scheduling tool, offers open slots, books, reschedules and confirms while the caller is still on the line, and applies your business rules so double bookings do not happen. It then updates the contact record in Salesforce, HubSpot or Zoho, or in practice software. Reminders are sent to cut no-shows.
Outbound work runs from the same agent. The FAQ lists lead follow-up, appointment reminders, payment reminders, surveys and re-engagement. Batch calling runs thousands of calls in parallel with no concurrency limits; you upload a list or trigger calls from your CRM. Campaigns carry branded caller ID and TCPA controls: consent tracking, calling windows, suppression lists and opt-out handling. On sales calls the agent asks your qualifying questions, scores the answers, pushes lead scores to the CRM and routes hot leads at once, and the site also lists conversion prediction and live prompts for human reps on handed-over calls.
After the call, every conversation is recorded and transcribed with role-based access, and a short summary goes to your CRM and inbox. A satisfaction question can close the call, and conversation analytics cover answered calls, wait time, resolution rate, sentiment and topics. Follow-up then leaves the phone: booking confirmations, reminders and reschedule links go out by SMS, WhatsApp or email, follow-up emails are written from the actual conversation, and timed sequences chase open leads and quotes. Phone, WhatsApp, SMS and email history sit in one thread per contact. That multichannel layer, together with the AI customer service product for queries across channels, is why Botphonic also sits under chatbot builders, although the phone agent is clearly the core.
Languages are a strong point on the pages. The agent speaks 50+ languages and regional variants, detects the caller's language on the first sentence and switches mid-call without a transfer. The list covers English (US, UK, AU), Spanish, Portuguese, French, German, Italian, Dutch, Polish, Russian, Turkish, Arabic, Mandarin, Japanese, Korean, Indonesian, Vietnamese, Thai and Filipino, and a block of Indian languages including Hindi, Gujarati, Marathi, Tamil, Telugu, Kannada, Bengali, Malayalam, Punjabi, Urdu and Indian English. The homepage says Indian languages are "first-class, not an add-on."
Telephony stays yours. Botphonic connects over SIP trunking to Twilio, Telnyx, Plivo and most VoIP providers, so you keep your current numbers with nothing to port, and you can buy new local or toll-free numbers inside the platform. The integration list names Salesforce, HubSpot, Zoho, WhatsApp and Zapier, and the homepage claims 100+ integrations via API, SIP and Zapier. The site also links documentation, a marketplace of tools and integrations, a partner program and an affiliate program.
The homepage plays 6 sample recordings that show the range: real estate lead qualification that books a viewing, a healthcare receptionist that verifies the patient and sends pre-visit instructions, a hospitality booking that takes a PCI-compliant deposit, an insurance renewal call that transfers to a licensed agent, a car dealership service offer and a recruitment screening call. Industry pages cover healthcare, real estate, financial services, BPO, car dealerships, recruitment, home services, travel and hospitality, education, solar, insurance, logistics and agencies.
Pricing, security and proof
The homepage prices by usage: "Pay for talk time, not seats." It lists $0.20 to $0.40 per talk minute, and the FAQ adds that the rate depends on volume. There are no per-agent licences, no minimum call volume and no setup fee, inbound and outbound share the same plan, all 50+ languages and 65+ voices are included, and every plan starts with a 14-day free trial. You can scale from one line to a full call center on the same plan. Some comparison articles on the site quote monthly plans instead, such as a Starter plan at $20 and a Pro plan at $55, which the homepage pricing does not mention.
Security gets its own section. The homepage lists PCI DSS compliant payment capture that keeps card details out of recordings and transcripts, HIPAA-ready workflows with PHI handled under BAA-compatible controls and audit logs, GDPR-aligned data handling with encryption in transit and at rest, regional data residency options, retention controls and a DPA on request, continuous penetration testing, TCPA-compliant outbound, and MFA with role-based access. The FAQ adds "SOC 2 controls" to that list. The company states 99.99% platform uptime, and a full security overview is linked.
The homepage says Botphonic is trusted by 500+ businesses and shows review scores of 5.0, 4.8, 4.8, 4.5 and 4.2 out of 5 on review platforms including Capterra, SoftwareSuggest and SaaSworthy. A success story headline reads "Serenity sees 150% ROI after switching its call handling to Botphonic AI", and the company lists 25% higher conversion on inbound enquiries, 50% shorter call handling time, 20% fewer human errors in bookings and records and 15% higher agent satisfaction for that customer. Alpesh Vaghasiya, CEO of Superworks, is quoted: "Botphonic helps us handle calls instantly and never miss a customer opportunity." A 20-minute demo can be booked.
Who it suits, and the caveats
Botphonic fits a clinic, dealership or service business that wants every call answered and booked straight into Google Calendar, Outlook or Calendly, with the record written back to Salesforce, HubSpot or Zoho. It also fits a sales or collections team that wants outbound reminder, renewal and qualification campaigns without paying per seat, an agency that wants to resell white-label receptionists, and a team that sells in India or across many language markets. Keeping existing numbers over SIP trunking avoids a number change.
The caveats are about pricing clarity and depth of build. The per-minute range does not say exactly which volume earns which rate, and the monthly plans in the comparison articles sit beside it, so the plan page is the place to check. The compliance depth, PCI deposit capture and HIPAA-ready intake among it, is pitched at regulated industries, so a small business that only needs after-hours answering will use a fraction of the platform.
